10 Questions to Ask an Event Planner Before Hiring Them

It is not hard to curate a corporate event proposal that is aesthetically pleasing and has an impressive list of previous clients. However, these things do not communicate whether or not the planner truly understands how to hit your business goals for your event. Here are 10 questions to ask an event planner before you decide to work with them.

1. What business outcome do you want to achieve with this event?

The right planner will refer to client retention or new business leads before talking about theming or decor. 

2. How do you measure event success?

The answer should be that they will send out a post-event survey, track retention, and measure ROI. A “great guest experience” is not enough.

It is important that your planner is knowledgeable about your specific industry and what kind of event will have the most impact.

4. What is included in your planning fee?

Get a full understanding of how their payment model works. Is it a flat fee? Is it percentage-based?

5. Who is going to manage my event?

Ask whether the person you are talking to will be planning the event and doing day-of operations or if they have a team. Make sure you will work well with the primary point of contact.

6. Do you manage the vendor relationships and contracts?

A good planner will have pre-existing relationships with vendors and venues. They should be able to easily guide you in signing contracts and paying vendors.

7. Do you have a contingency plan if something happens on-site?

This is an extremely important question to ask your planner. If they do not create a unique plan for your event beforehand, you should not work with them.

8. Do you understand events in terms of ROI?

This is extremely important for corporate events. You should not work with a planner who does not communicate what the business impact of your event should be.

9. How often do you communicate with your clients?

This sets a standard of accountability between you and your client to communicate often. It helps prevent things from slipping through the cracks.

10. Why should we work with you over another event planner?

In their answer, look for substance. Do they actually understand what you want out of your event? Can they communicate how they will deliver it?
